Terms and Conditions

This agreement contains the terms and conditions by which Vietnampathfinder Travel Co., Ltd. At # 205-206 No 51 Đốc Ngữ Street, Ba Đình  Dist, Hanoi, Vietnam, agrees to provide these services, tours in consideration for a client’s payment.

RESERVATIONS
For booking tours from Vietnampathfindertravel company, all Services and tours can be booked through email: info@vietnampathfinder.com, by facsimile :( 84.4)3 928 9778 or at our office : At # 205-206 No 51 Đốc Ngữ Street, Ba Đình  Dist, Hanoi, Vietnam and a signed completed registration form is required at the time of reservation. Written confirmation will be sent at the working hours of Hanoi office from 08.30 A.M to 05.30 P.M and excepted Sunday.

DEPOSITS
Deposit is requested at 30% of the tour’s total and may be made by wire transfer (bank fee =25$/ one transfer), payment by credit card (Visa or Master Card will be charged = 4% by Bank), Paypal online (we will send to your email payment links, once to get final confirmation).
The final payments will be settled up at 45 days prior to starting date of the trip for tour packages, 25 days for booking boats and 15days for booking car, at which time the balance of the trip must be made immediately upon our last confirmation. If for any season the balance is not paid in full by the due date, we reserve the right to treat your booking as cancelled without any refund of sums already paid to Vietnampathfinder travel co., ltd and without prior notice. 

PAYMENT

1. For Booking Tours :

20% of the total tour cost to be deposited upon commitment of the tour, this deposit is non-refundable. The remaining 80% of the total tour cost to be paid 45 days prior to arrival date. If booked less than 45 days from arrival, full payment is required immediately.

Where deposits and advance payments are required from contractors/third parties, these will also be invoiced to the client for payment (in addition to the 20% deposit). This will be required for Vietnampathfinder to secure services contractors/third parties. Pre-payment procedures during high/peak seasons may also vary, depending on the accommodation policy to guarantee the booking. Vietnampathfinder will inform you accordingly about this for each individual case.  

2. For Booking Car Rental :
100% of the total car rental costs to be paid upon commitment of the car rental.

3. For Booking Boat Cruises :

+ For FIT booking (group of less than 7 cabins):  

40% of the total tour cost to be deposited upon commitment of the tour, this deposit is non-refundable. The remaining 60% of the total tour cost to be paid 7 days prior to arrival date. If booked less than 7 days from arrival, full payment is required immediately.

+ For GIT booking (group of from 7 cabins)
50% of the total tour cost to be deposited upon commitment of the tour, this deposit is non-refundable. The remaining 50% of the total tour cost to be paid 60 days prior to arrival date. If booked less than 60 days from arrival, full payment is required immediately

We do accept payment methods:   

+ Bank transfer = 25$/ 1 time bank fees/ whole amount (takes 3 days to complete and easy, this is low bank fees for big amount)  

+ Credit card = 2.7% bank fees is levied in addition to the invoiced amount. Kindly make sure you include the invoice number or contact our Accounting Department for an invoice number so that your payment can be identified. Please also check with the bank who issued your credit card to ensure that no other bank fee is applied.

+ Paypayl online = 4.7%, fast but high fees  

+Cash on arrival:  50% deposit for booking services (after confirmation) and the balance by cash on arrival Vietnam ( collect by tour guides, drivers directly from tour leader or your clients).

LAST MINUTES BOOKING POLICIES

Last minutes bookings if the bookings are made in 72 hours, 48 hours or 24 hours before departure

Less than 24 hours before your trip departure (For booking visa 48 hours before departure/ boarding), please email us  at: info@vietnampathfinder.com or Call at 084 913323977 and only process the final booking on our website when get confirmation emails from our sale teams.

Refund and amendment will not be applied for last minute bookings.

CANCELLATION & REFUND

Any cancellations should be made in writing to VietnamPathfinder Travel (email at: info@vietnampathfinder.com ). Cancellations beyond your control subject to Force Majeure can be covered under travel insurance. We recommend you buy Travel insurance before you complete payment of your travel and review its relevant product disclosure statement. Cancellation fees of loss of deposit will be applied:

1. Cancel for Booking Tours:

For bookings that are cancelled by the passenger or agent 21 - 15 days prior to arrival date, loss of 50% of the total tour cost will be applied.

For bookings that are cancelled by the passenger or agent 14 - 8 days prior to arrival date, loss of 75% of the total tour cost will be applied.

Vietnampathfinder reserves the right to claim 100% of the total tour cost should the cancellation happen within 7 days before departure.

2. Cancel for Booking Car Rental: 

For bookings that are cancelled by the passenger or agent 21 - 15 days prior to arrival date, loss of 50% of the total car rental cost will be applied.

For bookings that are cancelled by the passenger or agent 14 - 8 days prior to arrival date, loss of 75% of the total car rental cost will be applied.

Vietnampathfinder reserves the right to claim 100% of the total car rental cost should the cancellation happen within 7 days before departure

3. Cancel for Booking Boat Cruises:   

For FIT booking (group of less than 7 cabins)  

More than 7 days prior to trip departure: No charge 

7 days - 3 days before arrival: 50% charge 

Less than 72 hours prior to check-in: 100% of total rate

No show: 100% of total rate  

For GIT booking (group of from 7 cabins)  

More than 60 days prior to trip departure: No charge 

60 days - 31 days before arrival: 50% charge 

From 30 to 15 days prior to check-in: 75% of total rate 

Less than 15 days prior to check-in: 100% of total rate

No show: 100% of total rate

Depending on airlines, hotels, cruises and third party cancellation policies, the above conditions may be modified on application. Vietnampathfinder will aim to negotiate with suppliers to waive or minimize these charges to you at best.

Infant and Child Prices  

 
Air tickets: Airline child price policy applied 
Please note that some suppliers may impose additional fees for infants and children. These will be advised at time of booking.  

TRAVEL INSURANCE 

We will do everything possible to ensure a safe and enjoyable trip. However, all travel involves some degree of risk and we strongly recommend that you take out appropriate travel insurance for your adventure. Your insurance protection should include cover for cancellation, medical and repatriation expenses, personal injury and accident, death and loss of personal baggage and money and personal liability. Evidence of such insurances should be produced to VietnamPathfinder travel on request. Insurance cover offered by credit card companies or reciprocal medical cover agreements are often not comprehensive.

TRAVEL DOCUMENTS
In case visas are required, Vietnampathfinder travel would be delighted to help you organizing the visas to entry Vietnam, laos, cambodia, China (free Service). Please note however, that Vietnampathfinder Travel can not be held responsible for information on visa regulations, or in case visas are not obtained or visas are not accepted by local authorities.
It is the Tour member responsibility to ensure that they have valid passports and visas, where necessary. Also should expect to receive itineraries, tickets, and hotel or service vouchers from Vietnampathfinder Travel at least two weeks prior to departure.

HOTEL CHECK IN- CHECK OUT TIME
Hotel Check in - Check out time is usually 12.00 A.M
Extended check in - check out time may be granted subject to availability and agreement by the participating hotels.

RESPONSIBILITY
Except in situations beyond human control, Vietnampathfinder travel will be held responsible for any additional expense resulting from the change caused by us in itinerary, transportation, accommodation and meals.
Except in situations beyond human control, Vietnampathfinder travel shall provide compensatory service for participants or refund the difference in payment for service rendered below standard.
The detailed program and schedule flights are subject to changes by airline without prior notice and in accordance with the weather conditions and daily operation of flights. Consequently, itinerary concerned might be adjusted. If this occurs, Vietnampathfinder travel will do all in its power to assist participants in boarding flights or finding alternative arrangements. Note however that it is done as a courtesy to participants and Vietnampathfinder travel can not be held responsible for denied boarding, nor for additional costs occurred.
